Whilst some companies have a “user chooser” policy for all their fleet acquisitions,
others tend to work on either set makes, models or even single badges.
Whatever your policy happens to be, our on-line ordering system – OVOS – is more
than capable of becoming your fully automated vehicle procurement system, offered
as part of our service, freeing up your time and allowing your drivers to order
their new vehicle at their convenience NOT your leasing companies.
When any of your drivers logon to OVOS following a prompt from “FleetControl” (via
SMS message or email) that it’s time to order their new vehicle, they’ll be able
to order on-line, within preset criteria from you (based upon any combination of
benchmark contract criteria you’ve already set – P11d, Co2, rental, whole life costs),
any vehicle from the menu for their staff grade or category.
To maintain continuity of pricing, and allow our customers to budget accurately,
OVOS is pre-programmed with contract pricing from one of the industries key business
contract hire players, so you know exactly what the contract rental will be at the
point of order.
Now for the clever bit, once your drivers click the confirm button, to ensure you
receive best market rate, not necessarily the rate at point of order, every time
one of your orders lands on your dedicated account managers “desk”, our market evaluation
begins immediately.
Your order is then in turn taken straight to market to ensure we secure the best
available rate on your behalf from a whole host of providers, from some of the biggest
suppliers in the UK market right through to some of the most specialised providers
to found anywhere in the industry today.
Only when we’re satisfied that we’ve secured the very best possible rate on your
behalf do we send you an electronic order form for sign-off and then start the credit
underwriting process.
When credit is agreed, your order then automatically appears on your “on order”
section of your fleet management portal, also allowing you, simply by the click
of a mouse, to cross reference the new order to the current vehicle either within
your live contracts section, or the renewals section.
As with everything we do, transparency of information and constant communication
with the minimum of fuss, and effort, is our watchword, correspondingly, we can
ensure that all, and every, member of any customers key personnel are automatically
e-mailed with order progress updates, as and when they happen, to make sure you
never miss a trick.
